Nine months earlier. At the end, the plant operator receives not a binder but a handover data set: plants with identifier, location, product data, document references, plus the maintenance intervals and recurring inspections. From this point on, it is no longer the construction site that keeps the file, but operations — the same chain, a new audience. Vahl works her way in two and a half hours through what would previously have taken her two days. What she appreciates about this kind of documentation is less the completeness than the labeling.
Every artifact carries its level: is this a photo with an anchored timestamp or one without? Is the finding confirmed or an unconfirmed suggestion? Is the text the original or a translation? For the feedback from the Polish-speaking installation crew, the spoken original stands first-class beside it; the translation is marked as assistance.
“In fifteen years I have not seen documentation that comes with its own limitations,” says Vahl. “Most of the time I see documents that claim more than they show. I can’t do anything with those.”

Her client receives from it a handover package with an index and checksums — expressly marked as evidence material, without legal assessment, and with a viewer that the opposing side can open offline and check themselves. The Unspectacular Ending
For the rollout, Nordkap purchased support for the first half-year, because three site managers had to switch over at the same time and the installation season shows no mercy. The fitters practiced on a training project where nothing can be broken; the training records are attached to the crews, and two operators now ask for them in tenders.
At the end of the project, Fehnhorst moves to the archive. Retention obligations for plant documentation outlast site managers, companies, and sometimes operators; read access for a fraction of what an active project costs is the only answer that does not put Nordkap in the awkward position of having to choose between “keep paying for everything” and “export and guard it yourself.”
